During our scheduled 30 minute complimentary call meeting we will get to know each other and see if we are a good fit to see if we can assist with your travel request. We'll ask you lots of questions about you, past travel experiences, travel preferences, and how we may be able to help make your trip memorable. If we've worked together prior, (Thank YOU) then we'll catch up during our call, update your preferences, and discuss this travel request.
We'll discuss how we work with our clients, how we are compensated, and the different cost options for our services.
If you've not worked with us before, you will be asked to complete a New Client Profile , which will provide us with important information about you, we will use to begin the planning process. It is critical for us to have this information before we begin working with you.
One critical component at this stage is determining your budget for this travel request. This information can help us match the best travel experience and value, but also be within your budget. It helps no-one if we create a trip that is outside your budget parameters.
2. Planning Stage - Determine options that will best fit your travel request
Once we have had our first meeting and received the completed Client Profile form, we will begin the planning process by researching the options that will best fit your upcoming trip.
Depending on the complexity of your travel, we may present a couple of options that we feel will work best for you. For more complex travel situations, where multiple options may not be available, we will build a custom itinerary designed to accomplish your travel goals.
During the planning process, we will continue to communicate to ensure we are on the right track to meet your travel request needs.
3. Presentation of Options
Once we've competed the planning process, we will present you with the best itinerary option(s) that encompasses all phases of your travel request.
We will discuss the itinerary and at this time determine if any changes or modifications are necessary.
After we come to an agreement on your itinerary option and all modifications are in place. We will provide a final proposal that is ready for reservations. Due to the nature of travel, booking as soon as possible is preferable to avoid price changes, as well as missing reservation opportunities (i.e. flight, resorts/hotels, cruise, suites, etc. unavailable)
You should look at your trip as an investment, and Travel Protection is an important consideration. We always recommend travel protection because "life happens...every day", and things come up that may require us to cancel or change our plans. Trips are typically planned well in advance of the travel date, and travel protection can protect you from the unexpected event that could destroy your travel. Ask us about how travel protection has helped other clients protect their travel investment.
4. Reservation process
Once you are ready and have provided approval, we will apply the necessary deposits and make reservations for each component of your trip. Please Note that pricing is not guaranteed until deposits or payments are in place. You will need to complete a Payment form for all payments.
We will make you aware of when final payment is due, typically 30-90 days prior to departure.
After final payments are made, we will prepare and deliver your travel documents, including your final itinerary with specific details, travel guidance and any other important information.
5. Travel!
As your travel date approaches, we will be in touch to ensure you are confident in the travel plans and answer any last minute questions you may have.
While traveling, if you have any issues or problems, you can contact us and we will assist in resolving them. We will also provide you with local contact information for immediate assistance in the event you cannot reach us, or are in a time zone that may be significantly different. These local contacts are our in country partners and can usually provide resolution of your issues.

6. Follow up - Travel Wishlist
Upon your return, we will follow up with you to ensure your travel went exactly as expected. It is important to hear about your travel experience. We love to hear all the experiences and destination s that you loved and if by chance there was something that didn't meet your standards. All feedback is important and enables us to expand our knowledge and ensure that we provide our clients with the best experience possible.
